Position Summary:
We are looking for a proactive, energetic, and hands-on Team Lead – Admin to take complete ownership of our day-to-day office administration and workplace facilities.
The ideal candidate will ensure that our office remains clean, well-maintained, organized, fully functional, and welcoming while managing vendors, office services, assets, procurement, and day-to-day administrative requirements.
This is a hands-on role for someone who takes ownership, notices things before they become problems, and gets things done.
Key Responsibilities:
- Own end-to-end office administration and facilities management, ensuring smooth day-to-day office operations.
- Ensure complete office cleanliness and maintenance, including washrooms, floors, cafeteria, workstations, common areas, solar pannels and overall workplace hygiene.
- Manage and monitor office support staff to ensure cleanliness, service quality, discipline, and timely completion of tasks.
- Ensure timely and proper serving of meals, refreshments, and other office requirements.
- Manage office assets, equipment, furniture, fixtures, and inventory, including proper records and basic controls.
- Coordinate with vendors, contractors, and service providers for maintenance, repairs, supplies, and other administrative requirements.
- Handle routine electrical, plumbing, AC, Solar, UPS, furniture, and other facility-related issues through timely coordination and follow-up.
- Manage grocery and office consumables, ensuring availability while maintaining proper usage and cost control.
- Handle Admin procurement, quotations, purchase coordination, and vendor follow-ups.
- Lead office renovation, maintenance, shifting, and workplace improvement projects.
- Manage incoming and outgoing mail, courier, and document handling.
- Coordinate administrative arrangements for internal and external meetings, events, and company activities.
- Handle outdoor administrative errands and other day-to-day office requirements.
Requirements:
- Bachelor’s in Business Administration, Management, Administration, or a related field.
- 3–5 years of relevant experience in administration, facilities, office management, or a similar role.
- Hands-on in MS Excel and ability to maintain administrative trackers and reports.
- Good communication, coordination, and interpersonal skills.
- Strong vendor management and negotiation skills.
- Energetic, proactive, and comfortable working in a hands-on environment.
- Strong ownership and problem-solving mindset.
- Good organizational skills with the ability to manage multiple priorities.
